3. May authors post their articles on preprint servers such as TechRxiv or ArXiv?
Yes. The IEEE recognizes that many authors share their unpublished articles on public sites. Once articles have been accepted for publication by IEEE, authors are required to post an IEEE copyright notice on their preprints. Upon publication, authors must replace the preprints with either 1) the full citation to the IEEE works with Digital Object Identifiers (DOI) or 2) the accepted versions only (not the IEEE-published versions) with the DOI. IEEE journals will make available to each author the accepted version of the article that the author can post that includes the DOI, IEEE copyright notice, and a notice indicating the article has been accepted for publication by IEEE. IEEE conference authors are free to post their own version of their articles, as accepted by an IEEE conference.

4. My paper has been rejected. Is it possible to contact the reviewers in order to get some further clarifications to help improve?
This conference is highly competitive and does not provide reviewer feedback. The Technical Program Committee is unable to offer additional clarification. All decisions are final, and no further correspondence regarding them will be addressed.
5. I am a co-author of two papers. May I present both?
For each accepted paper, at least one co-author must register for the conference. Please note that the conference applies a one registration–one paper policy.
If you are a (co-)author of two or more papers and wish to present all of them, you must register, indicate the IDs of all the papers you intend to present, and pay. This registration fee will cover one paper only.
To pay for the second (and any additional) paper(s), please contact registration@sistemacongressi.com to receive instructions on how to proceed with the additional payments.
Nevertheless we do encourage that a single author presents not more than one paper, so to have as many presenters as possible enjoying our networking activities .
6. I am a student and my paper has been accepted. Is a student registration fee accepted to comply with the one registration-one paper policy?
Student registrations do not fulfill the one-registration-per-paper requirement.
Each accepted paper must be associated with a non-student registration fee.
6.a Can the presenter register under the IEEE Student category if the paper is associated with a valid non-student registration of a co-author?
Yes. The accepted paper must:
(1) be associated with a valid non-student registration of a co-author to be included in the final program
(2) be presented in person at the conference by an author or co-author to be included in IEEE Xplore.
If condition (1) is not met by the deadline stated in the acceptance letter (8 June 2026), the paper will not be included in the final program.
If condition (2) is not met, the paper, although covered by a valid non-student registration, will not be included in IEEE Xplore.
7. I am a presenter. What shall I do?
Please check the instructions for speakers.
8. May I attend the Conference even though I haven't submitted a paper?
You are very welcome to attend Workshops, Tutorials and the Conference even if you haven't submitted a paper or if your submitted paper was unfortunately rejected.
9. I need an invitation letter for my Visa. What shall I do?
Please follow the instructions you find here.
The invitation letter will only be sent to delegates who have paid the registration fee.
In case of visa refusal, the amount paid for registration is refundable, except for an administrative fee of EUR 50.
10. I am a presenter. If I won't be able to travel due to VISA problem, can I transfer my registration to a co-author attending the conference?
Yes, of course.
At least one author per accepted paper must be registered AND attend the conference to present their paper.
IEEE reserves the right to exclude any accepted paper from distribution after the conference (including, removal from IEEE Xplore) if the accepted paper is not presented at the conference.
11. How do I qualify for a "Young Professional" registration fee?
If you are an IEEE Student or Young Professional, please refer to: https://students.ieee.org/membership-benefits/young-professionals/
For non-IEEE Students or Young Professionals, the same eligibility requirements apply, with the exception of IEEE membership. This category generally includes individuals at an early stage of their professional careers—typically graduate students who are no longer considered students but have not yet attained senior or experienced professional status. It commonly refers to those who have graduated within the past 15 years, often ranging in age from their 20s up to approximately 35 years old.
12. Are members of the Technical Program Committee (TPC) exempt from paying the conference registration fee?
No, they are not.
13. Can the registration fee invoice be issued under the reverse charge mechanism (B2B)?
The invoice relates to a registration fee for participation in a conference that takes place physically in Spain.
Under the applicable VAT rules for admission to events, the place of supply is Spain, where the event is held.
Therefore, the payment is not treated as an intra-Community B2B service subject to the reverse-charge mechanism.
For this reason, the invoice is issued using the Organizing Secretariat's Spanish tax identification number (NIF) N0403580D.
13. Will ESSERC 2026 Conference be on line?
The conference will be a fully in-person event.
14. What do delegates wear?
There is no official dress code.
